Choosing a Receptionist Template
The Template stage is the second step in Receptionist Setup.
Cognivox provides receptionist templates designed for different types of businesses and organisations.
Choosing the most appropriate template gives Cognivox a useful starting point for configuring the information and instructions your receptionist may need.
What is a receptionist template?
A receptionist template represents a particular type of business or customer-service environment.
Different businesses receive different types of enquiries.
For example, a dental practice may regularly receive questions about appointments, while an IT services company may receive sales, support and technical enquiries.
Selecting the appropriate template allows Cognivox to provide more relevant suggestions during the remaining setup stages.
Browse business categories
Templates are organised into business categories to make them easier to find.
Categories can include areas such as:
- Automotive
- Beauty & Wellness
- Charity & Non-Profit
- Creative Services
- Education
- Fitness & Leisure
- Funeral Services
- General
- Healthcare
- Hospitality
- Industrial
- Pet Services
- Professional Services
- Property
- Retail
- Security
- Technology
- Trades & Services
- Transport
Select the category that most closely represents your business.
Choose a template
After selecting a category, Cognivox displays the receptionist templates available within that category.
For example, the Healthcare category may contain templates such as:
- Dental Practice
- Healthcare
- Optician & Optometry
- Physiotherapy & Therapy Clinic
- Veterinary Practice
Select the template that most closely matches the way your business operates.
What if there isn't an exact match?
You do not need to find a template that describes your business perfectly.
Choose the template that most closely matches the type of enquiries your business normally receives.
You will customise the receptionist further during the remaining setup stages.
If none of the specialist templates are appropriate, you can select a more general receptionist template.
How the template is used
The selected template helps Cognivox tailor the setup process to your type of business.
For example, later stages may provide suggested information relating to:
- Common customer enquiries
- Appointment handling
- Information to collect from callers
- Sales enquiries
- Support enquiries
- Escalation procedures
- Security requirements
- Business-specific call handling
These suggestions are starting points.
You remain in control of the final information and instructions used by your receptionist.
Templates do not replace your company information
A template provides a starting point but does not automatically know the details of your business.
During the remaining setup stages, you will provide information including:
- Your business hours
- Receptionist instructions
- Company overview
- Frequently asked questions
- Products and services
- Additional company information
This allows Cognivox to combine an appropriate business template with information specific to your organisation.
Changing the selected template
Before continuing, make sure the selected template is appropriate for your business.
Changing the template can affect the business-specific suggestions Cognivox provides during later stages of Receptionist Setup.
If you are unsure between two templates, choose the one that most closely represents the enquiries your receptionist will normally handle.
Review your selection
Before continuing, check:
- You have selected the appropriate business category.
- The selected template closely matches your type of business.
- The template reflects the types of customer enquiries you normally receive.
Remember that you will be able to provide detailed business-specific information during the remaining setup stages.
Continue to the next stage
When you are satisfied with your selection, select Continue.
Your template selection will be saved and you can proceed to the Hours stage, where you will configure your normal business opening hours.
