Department Descriptions

The Description field explains the purpose of a department and the types of enquiries it handles.

A clear description can help Cognivox understand your business structure and determine which department may be relevant to a caller's enquiry.

What to include

Keep the description concise and describe the department's main responsibilities.

For example:

Sales

Handles new customer enquiries, product and service information, demonstrations and sales opportunities.

Technical Support

Handles technical problems, service issues, configuration questions and integration support for existing customers.

Accounts

Handles billing, invoices, payments and other account-related enquiries.

Be specific

Avoid descriptions that are too general.

Instead of:

Helps customers.

Use:

Handles customer service enquiries, existing account questions and general assistance.

Keep descriptions current

Update the description whenever the responsibilities of a department change.

Accurate descriptions help Cognivox understand which part of your organisation is most appropriate for a particular enquiry.
