Keeping Your Receptionist Information Accurate
Your Cognivox receptionist relies on the information configured for your business.
Keeping this information accurate helps ensure customers receive reliable and consistent answers.
Use factual information
Only provide information that accurately represents your business.
Avoid including:
- Services you do not provide
- Outdated information
- Unconfirmed prices
- Unsupported guarantees
- Incorrect opening hours
- Planned features described as currently available
If information is uncertain, it is better for the receptionist to explain that it does not have the information than to provide an incorrect answer.
Avoid conflicting information
Try not to store different versions of the same information in several sections.
For example, if your business closes at 5:00 PM, avoid having another section that states it closes at 5:30 PM.
Use the appropriate configuration area whenever possible:
- Business Hours for opening times
- FAQs for common questions
- Products and Services for what you provide
- Company Overview for general company information
- Receptionist Instructions for call-handling behaviour
Review AI-generated content
When using Generate with AI, always review the Generated Content before saving it.
Check that the AI has not introduced:
- New services
- Incorrect prices
- Unsupported capabilities
- Guarantees
- Incorrect business policies
- Information that does not apply to your organisation
You can edit Generated Content before continuing.
Remove outdated information
When something changes, update or remove the old information.
This can include:
- Discontinued products
- Discontinued services
- Former employees
- Changed business policies
- Old appointment arrangements
- Changed opening hours
- Integrations that are no longer available

Company knowledge should never contain:
- Passwords
- Authentication codes
- API keys
- Secret keys
- Access tokens
- Complete payment-card information
These are credentials, not company knowledge.
Test important changes
After making an important update, start a new test conversation and ask the receptionist about the changed information.
Confirm that the new answer is correct and that outdated information is no longer being used.
Keeping your company knowledge accurate helps Cognivox provide professional and dependable responses to your customers.
