Managing Catalogue Categories
Catalogue Categories provide the structure used to organise your listings.
A well-organised category structure helps users manage listings and helps the Cognivox AI receptionist understand and search the information contained in your catalogue.
Creating Categories
Create categories that clearly describe the different types of listings your business provides.
For example, a property catalogue might contain categories such as:
- Residential;
- Commercial;
- Land;
- New Build;
- or other categories appropriate to the business.
The categories you create should reflect the way you want your catalogue listings to be organised.
Category Names
Use category names that are clear and easy to understand.
A category should describe what a listing represents rather than information that is likely to change.
For example:
- Residential Property is suitable as a category;
- Commercial Property is suitable as a category;
- Two Bedroom is usually better stored as a listing attribute rather than a category;
- Under £1,000 is usually better handled through price information rather than a category.
Assigning Listings to Categories
When creating or editing a catalogue listing, select the category that most accurately represents the listing.
Correct category assignment helps Cognivox find relevant listings when customers make catalogue enquiries.
Editing Categories
If your catalogue structure changes, you can update existing categories where appropriate.
Before making significant changes to a category, consider whether existing listings are already assigned to it.
Changes should continue to accurately describe the listings contained within the category.
Deleting Categories
Before deleting a category, check whether any catalogue listings currently use it.
Listings should be moved to an appropriate category where necessary before the category is removed.
Do not delete a category simply because it is temporarily unused if you expect to use it again.
Categories and the AI Receptionist
Categories help the Cognivox AI receptionist understand the general type of listing being discussed.
However, a category does not replace the detailed information stored against each individual listing.
Keep important searchable information such as:
- location;
- price or rent;
- number of bedrooms;
- availability;
- features;
- status;
- and other listing-specific details
within the appropriate listing fields.
Keeping Your Category Structure Simple
Avoid creating unnecessary categories where existing listing information can already distinguish between listings.
A clear and consistent category structure makes your catalogue easier to maintain and helps Cognivox search it more effectively.
