Searching the Catalogue

Cognivox can search your catalogue to help customers find listings that match their requirements.

The information used to search depends on the type of catalogue and the details stored against each listing.

Customer Requirements

When a customer is looking for something in your catalogue, the AI receptionist can gather relevant information to help narrow the search.

For example, when searching a property catalogue, useful requirements might include:

  • whether the customer wants to buy or rent;
  • preferred location;
  • property type;
  • number of bedrooms;
  • minimum or maximum price;
  • and other relevant requirements supported by the catalogue.

The receptionist should ask only for information that is useful to the search and should not repeatedly ask for details the customer has already provided.

Matching Listings

Cognivox uses the information supplied by the customer together with the information stored in your catalogue to find suitable listings.

Search results depend on the accuracy and completeness of your catalogue information.

The AI receptionist should not invent a match or claim that a listing meets a requirement when the catalogue information does not support that conclusion.

If a search produces too many results, the receptionist can ask one relevant question at a time to narrow the search.

For example:

  • "Which area are you interested in?"
  • "How many bedrooms do you need?"
  • "What is your maximum monthly rent?"
  • "Are you looking to buy or rent?"

If no listings match the customer's requirements, the receptionist should explain that no matching listings were found rather than inventing or suggesting unavailable listings.

Specific Listing Enquiries

If a customer asks about a particular listing, Cognivox can use the information stored against that listing to answer relevant questions.

The receptionist should only provide information contained in the catalogue and should not guess missing details.

Availability

Where availability is relevant, Cognivox should use the current catalogue information before telling a customer that a listing is available.

If current availability cannot be confirmed, the receptionist should say so rather than guessing.
